We collect personal data about you for different reasons as detailed below.

You do not have to provide us with this information. However, if you choose not to, we may not be able to fully provide you with information on the products and services you have requested from us or fulfil the obligations of any orders.

 

    When you visit our website

 

Types of information gathered: When you use our website for general browsing, we do not capture or store any personal details about you. Should you make an enquiry via our website you will be invited to enter your Name, Email Address and the nature of the product you are interested in.

 

How we collect that information: Via information you provide to us on the website.

 

What we do with it: We use this information to supply you with information about the goods you are looking to order.

 

    When you Contact us directly

 

Types of information gathered: Your Name, Email Address, Company Name & Address, Job Title & Telephone Number or any other information you provide.

 

How we collect that information: Via telephone, email, post, or via our website.

 

What we do with it: We use your information to respond to any request for information you make to us or when any orders are placed. We store this information in our customer database, which is only accessible to relevant staff.  We also store information in Sage, our Finance processing package, for the purposes of invoicing. 

 

    When you order from us

 

Types of information gathered: Your Name, Email Address, Company Name & Address, Job Title & Telephone Number or any other information you provide.

We may also collect personal information of other relevant people you work with on the basis that you have their consent to share their personal information eg the person to whom the invoice should be sent or the person responsible for making payments.

 

How we collect that information: Via telephone, email or post.

 

What we do with it: We use your information to manage the supply, delivery, implementation and invoicing of your order, as well as forming our contract for the supply of our products and paid services to your company. We store your information in our customer contacts database for on-going management and record of your order and on Sage software for the generation of invoices and company accounting purposes.

 

  When we take your payment by credit card

 

Types of information gathered: Your Name, Email Address, Company Name & Address, contact telephone number, payment card details including the name on the card, its long number, expiry date and security code.

 

How we collect that information: Via telephone only

 

What we do with it: We use your information to take the credit card payment using a WorldPay virtual terminal.  This happens the same day and the information is then immediately shredded.

 

Our policy on sensitive personal information

We do not collect sensitive personal information.

 

Why do we collect your personal information and how will we use it?

 

We collect your information so that we can:

       Provide you with information on our company and its products & services.

       Provide you with a professional service and process your enquiry and / or order in a prompt and efficient manner.

       Provide you with access to our annual catalogue. 

       Very occasionally contact you via post or email with promotional updates, product information or competitions.

       Carry out our obligations arising from any contracts entered into by you and us.

       Keep in touch with you regularly so that we can keep our information up-to-date.

       Process Card Payments using Worldpay.

We will not collect any personal data from you that we do not need in order to provide this service to you.

 

Who will we share your information with?

We will pass your name, address and occasionally a contact telephone number only to our third party suppliers and their couriers and only in order to fulfil our obligations to supply the products and services requested via your purchase order. This information will not be passed on to any other third party by our suppliers or couriers.  

We will not sell, share or distribute your personal information with any other third parties for any other reason except for fulfilling the express purposes for which we have collected it and to the extent necessary to complete your order i.e. to a third party supplier or courier.

We inform third party suppliers that a commitment to this Privacy Policy is a requirement of trading with us.

 

How will we keep your information secure?

 

All our data is stored on password protected, secured PCs and in Dropbox Pro.

For the purposes of data storage and security, we engage the services of Mark One Consultants, a reputable IT management company who are ISO:27001 certified.  This is an international information security standard & demonstrates that the company are following information security best practices. This certification requires independent verification performed on a yearly basis.

Any data breach would be managed by Mark One Consultants and subject to their Data Breach Management Policy.  A copy of this policy is available to anyone affected on request.

We regularly review our policies & practices together with those of any relevant third-party service providers to ensure they meet the standards set out by UK and EU data protection law and our own standards for the protection of your data.

 

How long will we keep the data for?

 

How long we retain your personal data depends on the purpose for which we have collected it.

We are required under UK tax law to keep company records which may include your basic personal data (name, address, contact details) for a minimum of 7 years.

We routinely review our customer database and records are deleted where regular contact has ceased or you have exercised your right to be forgotten.

 

Should you request for us to retain your data for only a specific period of time, then this request will be honoured and confirmed in writing.

 

What is our marketing policy?

 

We distribute paper catalogues on an annual basis and send examples of promotional items from time to time. You have control over what you receive and if you prefer not to receive the catalogue then please simply advise us that you wish to be paper-free.  You will still be able to view our catalogue online at www.zolitayre.co.uk

 

You can request your removal from our mailing list at any time by emailing us directly at judy@zolitayre.co.uk.

 

We will not share your information for marketing purposes with any third-party companies.
